By default the entire outline is expanded so all text is visible.

 
 

Collapsing the entire outline can help you see the bugger picture when you have a large number of slides.

 
 

When you collapse the outline only the top-level headings are displayed, all the others are hidden.

 
 

You can specify exactly which levels should be expanded and which should be collapsed.

 

 

There are two ways to collapse and expand either a selection at a time or everything at once.

 


 

Collapsing a Paragraph

 
 

PowerPoint allows you to collapse the outline so that only slide titles are displayed.

 
 

This is very useful for long presentations that contain a large number of slides.

 
 

To collapse a single slide position the cursor anywhere in the slide you want to collapse

 

 

1) Press the Collapse button

 
 

2) Double click the slide icon (this is a toggle)

 
 

3) Using the Outline shortcut menu

 
 

4) Using the shortcut key (Alt + Shift -)

 

 

 Collapse - In Word, hides body text and subheadings of a selected heading, one level at a time. In PowerPoint, hides all but the title of selected slides. Collapsed text is represented by a grey line.

 

 

Using the shortcut key (Alt + Shift + 1) to collapse All or press the Collapse All button

 
 

 Collapse All - Displays only the title of each slide. Text other than the title is represented by a grey line below the title.

 

 

Expanding a Paragraph

 

 

Expanding a paragraph restores the paragraphs of text.

 

 

1) Press the Expand button

 
 

2) Double click the slide icon (this is a toggle)

 
 

3) Using the Outline shortcut menu

 
 

4) Using the shortcut key (Ctrl + Shift + +)

 

 

 Expand - In Word, displays collapsed subheadings and body text of a selected heading, one level at a time. In PowerPoint, displays the titles and all collapsed text of selected slides.

 

 

Using the shortcut key (Alt + Shift + 9) to expand all or press the Expand All button.

 
 

 Expand All - Displays the titles and all the body text for each slide.

 

 

Things to Remember

 
 
  • You can collapse and expand an entire presentation or you collapse and expand one slide at a time.
