Presentation Zoom

 
 

PowerPoint automatically adjusts the zoom factor so that slide view displays each slide fully.

 
 

It is possible to change this by selecting (View > Zoom) or by using the Zoom drop-down on the standard toolbar.

 
 

You can enlarge and reduce the current slide by adjusting the view percentage.

 
 

The default percentage is 100% ?? You can quickly adjust this zoom size by holding down the Ctrl key and

 
 

This will highlight the whole slide, select (View > Zoom) and choose Fit Selection.

 
 

You can magnify a slide to read small data or shrink a slide to view more of your data.

 
 

To display the slide using a different setting move the mouse over the drop-down and choose another percentage.

 
   

 

You can adjust the size of the pane by changing the Zoom.

 
 

Zooming in will obviously give you greater precision.

 
 

To change the zoom for a particular pane make sure it is active before adjusting the zoom level.

 

 

The quickest way to change the zoom level is to use the Zoom drop-down box on the Standard toolbar

It is possible to type in a specific zoom percentage to allow greater choice

Some panes however are restricted to a maximum of 100%.

 

 

The default zoom for the Slide pane in Normal view is "Fit".

 
 

This means that the slide will automatically fit to the size of the slide pane making sure it is as large as possible

Linking a PowerPoint Presentation from a Word Document

 
 

If you want to link PowerPoint presentation into a Word document (or any other Microsoft Office application).

 
 

Select (Insert > Object). Select "Create from file".

 
 

Select "Link to File" and browse to the particular PowerPoint file.

 
 

Press on OK to insert the file.

 

 

Combining Multiple Presentations

 
 

There are several ways to combine presentations but this might be the fastest way

 
 

Select (Start > Run) and type in the following:

 
 

POWERPNT -I "file1.ppt" "file2.ppt"

 
 

You need to substitute the "file1.ppt" with the filename and path name of the presentation.

 
 

You only need to include the speech marks if your filename and path name contain spaces.

 
 

Press OK

 
 

PowerPoint will start by creating a blank presentation and will then add the content from each presentation.

 
 

You can then just add the relevant design template afterwards.

 

 

Slide Sorter View Toolbars

 
 

The Standard and Formatting toolbars are displayed on a single row by default but this can be changed from (Tools > Customise)(Options tab).

 
 

When you display a presentation in Slide Sorter view the two toolbars which are displayed (Standard and Slide Sorter) will always be displayed on a single row initially (regardless of whether you have changed the above option).

 
 

You will have to reposition these two toolbars manually to display them on two rows.

 
 

This only has to be done once as the toolbar positions are saved. These will be displayed on two rows from then on.

 

 

What is the PowerPoint Viewer ?

 
 

The PowerPoint Viewer comes with PowerPoint and is free to distribute with your presentation files.

 
 

Microsoft allows the distribution of this file so that people who do not have PowerPoint installed on their PC are enabled to watch a PowerPoint slide show.

 
 

PowerPoint Viewer 2003 is a new version and the new features includes support for graphics, animations, media as well as printing.

 
 

If you require PowerPoint Viewer it is possible to download it from the Microsoft website.

 
 

The viewer will work with presentations created in all the previous formats and on windows operating system from Windows 98 SE and higher.

 
 

The PowerPoint Viewer is only available for computers with a Windows operating system. Macintosh computers will not be able to run PowerPoint viewer. If you want to show a presentation on a Macintosh you must have PowerPoint installed.
