What are Track Changes ?

 
 

If you work in a team and several of you are responsible for maintaining a document it can be useful to know who made what changes.

 
 

Track changes allows you to track not just who, but when a change was actually made.

 
 

This lets you track, accept and rejects specific changes made by multiple reviewers.

 
 

Even if you are the only person that uses a document it is even possible to track your own changes.

Shared Documents

 
 

There is no equivalent functionality in Word to the shared workbooks feature in Excel.

 


 

This is great for Editors as it allows changes to be seen, accepted or rejected

 
 

When a document is returned from the Editor the writer can see all the insertion, deletion and formatting changing that the editor or reviwer has made.

 
 

You also have the option to accept all, reject all or to either accept or reject indivudal changes.

 

 

If you are the editor you can display your changes the way you want to with a choice of font colours, formatting options etc.

 

 

To track the changes made to a document, select (Tools > Track Changes)

 
 

When the Track changes feature is enabled "TRK" will appear on the status bar in the bottom left corner of the screen.

 

 

You can change the font color and formatting of tracked changes by using the (Tools > Options)(Track Changes tab).

 
 

You can also print a list of the changes made.

The Track Changes tab of your (Tools > Options) diaplys some important settings relating to both comments and track changes.

 
   


 

Comments

 
 

Comments are short descriptive bits of text that can be attached to parts of your document.

 
 

Adding comments to your documents is extremely useful when you need to explain things to other users.

 
 

You can also use Comments to create notes to yourself about things you need to add or check.

 

 

You can track your changes in a document

 
 

If you have the track changes feature on you will see a "TRK" in the status bar at the bottom

 
 

You can also double click the "TRK" to toggle track changes on and off

 

 

Reviewing Toolbar

 
 

When you edit a comment the Reviewing toolbar will appear automatically.

 
 

You can quickly move between the comments on a worksheet by using the Next and Previous buttons.

 
 

Using the Reviewing toolbar can make working with comments slightly easier.
