You can stop the grammatical errors from getting underlined by changing your (Tools > Options) (Spelling & Grammar tab). You can choose between "Casual","Standard", "Formal", "Technical" and "Custom". To prevent the errors, choose Casual. You can select "Settings" to select any specific items you want the grammar checker to tag

 
 

If you use a lot of words with strange capitalisation always enter them into your dictionary as all lowercase, if not and the capitalisation does not match exactly as you type they will be flagged as being incorrect

 
 

To quickly move to the next spelling or grammatical error, double click the Spelling and Grammar” status icon on the status bar

 
 

The (Tools > Spelling) command will not work in a protected section of a document.

 

 

You can quickly double click to select a word and then press (Shift + F7) to access the Thesaurus to display a list of synonyms, although just right clicking in the Word will display them on the shortcut menu.

 
 

You can easily change whether to use the automatic spelling and grammar checking (Tools > Options(Spelling & Grammar tab, Check spelling as you type, Check grammar as you type).

 

 

Word Count and Readability Statistics

 
 

You can obtain an accurate estimate of your documents current size (Tools > Word (Count)). This displays the total number of pages, words, characters, paragraphs and lines. By default, Word does not include footnotes and endnotes in its count

 

 

To display the readability statistics (Tools > Options) (Spelling & Grammar tab) and check the Show Readability Statistics check box.

 
 

After spelling and grammar has been checked in your document a summary dialog box is displayed.

 
 

The statistics are based on an estimate of the number of words in an average sentence, and the average number of syllables in each word

 
 

When you use the Spelling and Grammar dialog box you have the facility to enter mispelt words and the correction into the AutoCorrect.

 



 

Thesaurus

 
 

To use the thesaurus, right click on a word for which you would like to see synonyms on the short-cut menu (or press Shift + F7)

 
 

Just select the Word you want and select (Tools > Language > Thesaurus)

 
 

The thesaurus also helps you find synonyms for the particular usuage of a word that can be used in multiple senses. The meanings box lists all the possible senses where the word could be used

 
 

In many cases the thesaurus can show you antonyms (opposite meanings) of a word or phrase. Any antonyms are followed by the word Antonym in brackets.

 




 

You can select (Tools > Spelling) when the the formula bar is active you can check just the contents of the active cell.

 
 

You can select (Tools > Spelling) when only one cell is selected to check the entire worksheet, including comments, charts, headers & footers ??

 
 

Any cells that are hidden, including those in outlines will be checked by the Spell Checker

 
 

Any cell that contain formulas are not checked by the Spell Checker

 


 

Options button displays the tab from (Tools > Options)

 

 

Word can check the spelling and grammar in your document. You can either do this automatically as you work or when you are ready at any stage.

 


 

The langauge that Word is using to check your spelling and grammar is displayed in the bottom right corner of the status bar.

You can double click this prompt if you want to use a different langauge.

 

 

As you Work

As you enter your text, any words that are not recognised are underlined with a red wavy line.

Any words, phrases or sentences that have unusual capitalisation or are not grammatically correct are underlined with a green, wavy line.

You can use the right mouse button to click on the underlined word or phrase to obtain an alternative word or phrase

When you right click on a word any possible correct spellings are listed at the top of the shortcut menu.

 
 

You can change the incorrect word to one of those listed at the top by clicking on the word you want to use on the shortcut menu.

 

 

Grammatical errors can be handled in an identical way.

 

 

At a later date

 
 

You can use the check spelling and grammar button on the Standard toolbar

This will check from the current insertion point to the end of the active document.

 
 

When the checking is complete a dialog box will be displayed

Press "OK" to return to the active document.

 


 

Things to Remember

 
 
  • You should always spell check your documents (Tools > Spelling and Grammar)

     
     
  • Spelling errors are displayed with a “red” wavy underline
